How to Migrate Property Management Records from Spreadsheets

A practical guide to preparing property, tenant, lease and financial records before moving from spreadsheets to property management software.

Published 27 Oct 2026 · Proper Manager|12 minute read

Moving from spreadsheets to a dedicated property management system requires preparation. Property management companies may have years of information distributed across files, folders, email accounts and accounting systems.

The quality of migration depends on the condition of those records and the clarity of the implementation plan.

A new platform cannot automatically correct missing information or inconsistent records. These issues should be addressed before the business begins relying on imported data.

Identify Existing Information Sources

Start by listing where important information is stored. This may include spreadsheets for property and tenant records, document folders containing lease agreements, financial reports, maintenance logs and contact information.

Identify which sources are authoritative and which contain outdated duplicates.

Prepare a Property Inventory

Each property should have a consistent identifier and information required by the new system. Depending on the business, this may include property address, units, owners, property category and relevant supporting documents.

Consistent records make it easier to connect related information after migration.

Review Owner and Tenant Records

Check names, contact information and links between people, properties and tenancies. Duplicate entries should be identified before import.

Personal data should be handled according to the company's applicable legal obligations and internal data protection arrangements.

Check Lease Information

Lease records may contain payment terms, deposits, start and end dates, renewal information and supporting agreements.

Verify these details against available source documents rather than assuming every spreadsheet entry is correct.

Reconcile Financial Records

Financial information requires particular care. Opening balances, rent schedules, recorded payments and outstanding amounts should be checked before being transferred into a new platform.

The company should determine which historical transactions need to be imported and which can remain in existing accounting records.

Plan Document Migration

Documents should be associated with the correct property, owner, tenant, lease or maintenance record.

Consider how files are currently named and whether obsolete copies should be excluded. Access permissions must be respected during migration.

Test Before Going Live

A sample migration can reveal problems before the complete dataset is transferred.

Test several representative properties, including those with multiple units, several tenants or substantial maintenance history. Authorised staff should verify imported information is accurate and accessible through expected workflows.

Train the Team

Employees need to understand how to create, update and retrieve information in the new system.

Training should reflect real tasks such as creating a tenancy, recording a payment, assigning maintenance work or producing an owner statement.

Establish a Cutover Plan

Decide when the new system will become the primary source for operational records. Where necessary, plan how changes made during the transition period will be reconciled.

Maintain appropriate backups and a recovery plan before making the transition.

Moving to a Dedicated Platform

Proper Manager is implemented for individual property management companies. The migration approach depends on existing systems, quality of records and required modules.

During project planning, the company can identify which information needs to be transferred, what preparation is required and how new management workflows will operate.

Written by the Proper Manager. Proper Manager is software for property management companies. It is not a letting agency or a legal adviser.
