FAQ
Frequently asked questions
Clear answers for property management companies considering Proper Manager, and for owners and tenants using a company portal.
Platform
What is Proper Manager?
Proper Manager is software for property management companies in Cyprus. It brings together a staff backoffice, a public website with property listings, and secure portals for owners and tenants. It is a technology product, not a letting agency, and it does not manage properties itself.
Who is Proper Manager for?
It is designed for companies that manage property on behalf of others: long term rental managers, holiday rental operators, building management companies and commercial property managers. Owners and tenants use the portals that their own property manager provides.
Is Proper Manager a shared SaaS platform?
No. Each company receives its own dedicated installation rather than an account on a shared system. This lets us configure branding, permissions and features around the individual company.
Can the platform carry our own branding and domain?
Yes, branding is configured for each installation. A custom domain is possible subject to configuration and to the domain and hosting arrangements agreed for your installation.
Does Proper Manager replace our existing way of working?
It is meant to support the processes you already have by putting records, documents and communication in one place. We discuss your current workflow during implementation so the setup reflects how your team operates.
Is the platform available in Greek as well as English?
Language support depends on how your installation is configured. Please ask us about your requirements and we will confirm what is available.
Properties
What kinds of property can be recorded?
Residential units, holiday homes, apartment buildings with several units, and commercial premises such as offices and shops can all be recorded, each with owners, documents, photographs and history.
Can we publish property listings on our website?
Yes. Properties your company chooses to publish can appear on the public website, and enquiries can be recorded in the backoffice. Your staff decide what is published and what stays internal.
Are the properties shown on the demonstration site real?
The properties on the Proper Manager marketing site are demonstration data. They illustrate how listings connected to Proper Manager appear and are not genuine rental stock.
Can we store documents against each property?
Yes. Leases, certificates, insurance documents, invoices and inspection reports can be attached to the relevant property, tenancy or building.
Can one owner have several properties?
Yes. An owner can be linked to multiple properties and sees them together after a single login, with the records for each kept separate.
Owners
What can owners see in the owner portal?
Owners can see the properties linked to their account and the information your company chooses to publish, such as statements, documents, inspection reports, maintenance updates and quotations awaiting approval.
Can overseas owners approve repairs remotely?
Yes. Where approval is needed, your team can share a quotation with details and photographs and record the owner's decision through the portal.
Who decides what owners can see?
Your company does. Information is published to the portal deliberately, and internal notes and records remain visible only to staff with the right permissions.
Can an owner see another owner's information?
No. Owners can only see properties and documents linked to their own account.
Does the platform calculate and send owner statements?
Statements are prepared from the income, fees and expenses your team records. Your company reviews and approves them before they are published to the portal. The accuracy of a statement depends on the accuracy of the underlying records.
Tenants
What can tenants do in the tenant portal?
Tenants can view their tenancy details and shared documents, check payment information recorded by your team, report maintenance issues with photographs and see contact details provided by your company.
How does a tenant get access?
Your company creates the tenant's account. The tenant receives login details from the property manager and can reset their password through the portal.
Can tenants see other tenants' details?
No. A tenant can only see information linked to their own tenancy.
What should a tenant do in an emergency?
Use the emergency contact your property manager has provided. The portal is for recording and following requests, and it should not be relied on as the only way to report an urgent problem.
Maintenance
How is a maintenance request recorded?
A request is logged against the property with a description, photographs and a priority. Your team can assign a contractor, record quotations, request owner approval and close the job with completion notes and invoices.
Who can raise a maintenance request?
Tenants through the portal, owners, and your own staff. Requests can also be raised from an inspection where an issue is found.
Can we keep a list of approved contractors?
Yes. Contractors can be recorded with their trades and contact details and then assigned to requests.
Can we record inspections?
Yes. Routine, move in and move out inspections can be recorded with notes and photographs, and issues can be turned into maintenance requests.
Can we track servicing of boilers, air conditioning and other assets?
Assets can be recorded against a property with service dates and documents, so your team can plan and follow up planned servicing.
Holiday Rentals
Does Proper Manager support holiday rental management?
Yes. Your team can manage bookings, owner stays and blocked dates, guest details, cleaning tasks and income reporting for short stay properties.
Can it connect to Airbnb, Booking.com or other channels?
Channel connections depend on what each channel makes available through its API or calendar feeds, and on how your installation is configured. We agree what is practical for your company during implementation and do not assume a connection exists until it has been set up.
Does the platform handle holiday letting registration?
Proper Manager lets you store registration details and documents and record renewal dates. It does not replace professional advice, and your company remains responsible for meeting its legal obligations.
Can owners block dates for personal use?
Owner stays and blocked dates can be recorded on the property calendar so that they are separate from guest bookings.
Security
How is access controlled?
Access is granted by role. Staff, owners and tenants each see only what is relevant to them, and staff permissions can be set according to the responsibilities of each team member.
Where is our data kept?
Each company has its own dedicated installation, so your data is not mixed with other companies' data. The hosting arrangements are agreed as part of implementation.
How do users sign in?
Users sign in with their own credentials. Staff, owners and tenants use separate login areas, and passwords can be reset through the portal.
How is personal data handled?
Personal data is handled in line with the privacy policy of the property management company that operates the installation. Our own approach is described in the privacy policy on this website.
Implementation
How long does implementation take?
It depends on your requirements, the number of properties and users, the amount of data to bring across, and any integrations you need. We discuss these with you and agree a plan rather than giving a standard timescale.
Can we bring our existing records across?
In many cases yes. What can be imported depends on the format and quality of your current records, and we review this with you at the start.
Will our staff be trained?
We walk your team through the platform and agree the level of support that suits your company during implementation.
What happens first?
We start with a conversation about the properties you manage, how your team works and what you want owners and tenants to see. From there we propose a setup and plan.
